Corporate Terminology Management

Terminology and Glossaries

Every company develops its own language over time: technical terms, product names, and recurring expressions that identify the brand. When this terminology is not managed in a structured way, the result is inconsistency: the same concept is expressed in different ways depending on the document, department, or year of production.

Terminology management addresses this issue at its root. With Dotwords, you can build a shared reference system comprising glossaries, terminology databases, and style guides, ensuring consistency across all content produced, in any language.

What is terminology management?

The technical terminology adopted by an organisation undoubtedly represents a fundamental part of building its corporate identity, while also playing a key role in communicating the most relevant information about a given product/service. However, it is not uncommon to encounter situations of terminological inconsistency, especially when the volume of documentation is extensive and multiple language combinations are involved: similar documents produced by different departments or over the course of several years may contain significantly different terminology choices, creating considerable confusion for recipients.

Terminology and glossary management is the process of collecting, validating, and standardising a company’s vocabulary.

The result is a set of tools: monolingual or multilingual glossaries, terminology databases, and style guides, which become mandatory reference points for writers, translators, and proofreaders.

How do we manage terminology?

Our terminology management approach follows three structured phases designed to adapt to each client’s size and industry.

Phase 1
Data collection and term extraction

We start with your existing documents, in one or more languages, to extract relevant terms and build the first terminology glossaries for reference. We can create separate glossaries for departments, product lines or target markets, depending on your operational needs.

Phase 2
Review by a specialist linguist

A native-speaking linguist with expertise in your industry reviews the extracted glossaries, validates the terminology choices and checks their accuracy in context. If necessary, they create new terminology from scratch by studying the specific language used by your company and in the target market.

Phase 3
Approval and standardisation

The final result is shared with you for approval before being uploaded to the operational terminology database. From that point onwards, all translators and reviewers working on your content use the same references, which are dynamically updated over time.

A team of terminologists dedicated to your company

At Dotwords, terminology management is handled by a dedicated department comprising certified linguists and project managers with experience in technical, legal, medical, and technology sectors.
Each client has a dedicated terminologist who understands the company’s context and keeps glossaries and style guides up to date over time.

The customised database includes terms to be standardised in all relevant languages, terms to be excluded because they are inconsistent with the brand, product and service names that should not be translated, and formulations characteristic of the company’s tone of voice.
Our professional software automatically checks terminological consistency during the translation process, progressively reducing the margin of error until it is eliminated.
